An agreed project scope
Each project needs a signed scope specifying the contracting parties, deliverables, event or campaign dates, responsibilities, approvals, milestones, budget and payment schedule. Live production can include broadcast, streaming, XR, immersive experiences and technical or creative event coordination. Audience work can include strategy, campaign operations and event activation. Work outside the agreed scope requires an approved change.
Live production and event delivery
The scope must allocate venue access, permits, risk assessments, qualified crew, rehearsals, connectivity, equipment, safety responsibilities and contingency plans. It must identify who approves the creative treatment and technical specification, and the consequences of late inputs or changes. Weather, venue restrictions and third-party dependencies require an agreed contingency and cancellation process; they are not automatic excuses for all non-performance.
Content and rights
The parties must confirm rights for music, performances, recordings, artwork, trademarks, participant appearances and any AI-generated material. Agree ownership and permitted uses of commissioned work, underlying tools, raw footage and portfolio extracts. Existing rights and licences are respected; this draft does not assume that a project commission transfers every underlying right.
Audience campaigns and personal data
Agree who owns the advertising accounts, who pays media spend and who can approve creative or budget changes. Platform charges and production fees should be separated. Performance estimates are planning assumptions, not guaranteed sales. Customer lists, remarketing and direct marketing may only be used with an appropriate legal basis, transparency and any required consent. Purchased or scraped lists are not automatically authorised by a campaign brief.
Handover, cancellation and liability
The signed scope must specify acceptance criteria, revisions, handover formats, cancellation and postponement charges tied to agreed commitments, insurance, dispute handling and a legally reviewed liability allocation. Any subcontractor data processing must be covered by the relevant data terms. Consumer engagements need separate review where mandatory consumer protections apply.
