Budget calculator and PDF delivery
The calculator runs in your browser without registration. PDF delivery is a subscriber benefit. When you request a PDF, we process your entered budget and email address through Cloudflare and email the complete report both to you and to the Lookport team at alex@lookport.co.uk for enquiry follow-up. Financial inputs are not stored in the lead database, but the report is retained in the recipient mailboxes. Your email, subscription choice, request status, timestamp and notice version are stored for up to 180 days, after which the database records expire automatically. Delivery-provider and mailbox retention remain subject to the operational review described below.
The report form requires an unticked subscription checkbox for Lookport product news and event-planning tips. Submitting it records your subscription immediately, without another confirmation email. You can withdraw your marketing consent using the preference link in the report email or by contacting alex@lookport.co.uk; withdrawal does not affect earlier lawful processing. Without subscribing, you can still use the calculator and view all results online. Marketing campaigns are not sent by this calculator. The subscriber-only report arrangement remains part of this draft legal review.
The website owner can access request and permission records to manage enquiries and the requested relationship. Budget figures are included only in the PDF sent to the address you enter. Please use your own email address and avoid unnecessary personal information in expense names.

Information we receive
When you contact us, we receive the name, email address, company, area of interest and project details you provide, including any event date or location. Do not include payment card details, passwords, identity documents or sensitive information in the enquiry form.
Our hosting service processes connection information such as IP address, browser details and security signals to deliver the website and prevent abuse. The country suggestion uses the country supplied by the hosting network; this is not precise location tracking. Language and country preferences are saved on your device only if you allow them.
Why we use it and our lawful bases
We use enquiry information to understand your request and reply. Where you ask about a contract with you personally, the basis is taking steps at your request before entering a contract. For enquiries on behalf of an organisation, our basis is our legitimate interest in responding to relevant business requests. We use proportionate security processing under our legitimate interest in protecting the website and preventing abuse.
We may retain information to meet a legal obligation, for example records required by accounting law, or where necessary to establish or defend a legal claim. Optional device preferences use your consent. An enquiry is not consent to a marketing list: this form does not subscribe you to marketing.
Who receives information
The website and enquiry endpoint run on Cloudflare. A submitted enquiry is passed through the configured email delivery service to the company mailbox, whose provider also processes the message. Only team members and professional advisers who need the information for the relevant purpose should have access.
The current draft assumes Cloudflare Email Service for website delivery. The final recipient mailbox provider, subprocessor list, contractual safeguards and operational access list must be confirmed before production approval. We do not sell enquiry information. Ticket payments, account verification and attendee records belong to separate service workflows that require their own notices.
International transfers
Service providers may process data outside the United Kingdom. Where a restricted transfer occurs, the appropriate adequacy decision or contractual transfer safeguards and any required assessment must be in place. The precise provider locations and transfer mechanisms are still being verified; no unverified transfer arrangement is represented as complete here. Contact us to request the final safeguards information.
How long information is kept
We keep information only for the purpose for which it is needed, taking account of an active enquiry, an agreed project, legal recordkeeping duties and a specific dispute. The company must approve an operational schedule covering unsuccessful enquiries, client correspondence, security logs and backups before this draft is final. This draft does not promise a deletion period that has not been implemented.
The device preference permission expires after 180 days. On a subsequent visit, expired permission is ignored and saved language and country preferences are removed. You can withdraw earlier in Cookie settings. Contact us to ask about deletion of an enquiry; we will explain any lawful reason why a particular record must be retained.
Your rights
Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your personal data, and object to processing based on legitimate interests. You can withdraw consent for optional storage at any time without affecting prior lawful use. Some rights have legal exceptions. We may need proportionate information to verify a request, but please do not email identity documents unless a secure, necessary process has been agreed.
We normally respond to data rights requests within one month, subject to lawful extensions and identification requirements. You can complain to the UK Information Commissioner at ico.org.uk/make-a-complaint. You do not have to contact us first to exercise that right.
Children, automated decisions and changes
This marketing website is directed at event professionals. It does not use enquiry information to make solely automated decisions producing legal or similarly significant effects. Event age restrictions and any processing involving children must be explained by the relevant event organiser. If we introduce analytics, advertising technology or a new processing purpose, we will update the notice and obtain any required permission before enabling it.
